Technical Coordinator

PURPOSE: Reporting to the Director of Public Works, this position will provide assistance and support of the planning, design, tendering, construction supervision, commissioning and warranty of assigned projects and acquisitions. This is a full-time permanent position working primarily in the office with moderate local travel required.
COMPENSATION AND BENEFITS: Cowichan Tribes offers an excellent benefit and pension plan available after successful completion of the probationary period. The position includes paid training, paid vacation and paid sick leave. Depending on experience, the position starts at $34.75 - $36.86 per hour ($63,248.29 - $67,092.79 annually).
RESPONSIBILITIES:
- Liaise with staff, consultants, Cowichan citizens, governmental representatives and regulatory agencies regarding assigned projects
- Deliver notices and be point of contact for community members regarding assigned projects.
- Coordinate schedules and attend committee meetings as required
- Liaise with design professionals, architects, engineers, other consultants, staff, Cowichan citizens and other stakeholders regarding funding, design and execution of assigned projects
- Prepare agendas and take meeting minutes
- Create and implement appropriate digital and physical file structures
- Prepare and maintain accurate records
- Perform quality control file management and provide recommendations
- Read, interpret, and follow existing, policies, procedures, and best management practices
- Research and summarize technical concepts
- Coordinate with consultants, contractors, subcontractors and/or suppliers and provide direction as required
- Monitor and maintain records for accuracy of financial transactions regarding assigned projects
- Request purchase orders and other financial authorizations on behalf of Capital Project Advisors
- Authorize minor purchases and payments in compliance with the Procurement Policy
- Help plan and coordinate public events such as kick off meetings, community engagement, and ribbon cutting ceremonies.
- Prepare and submit required documents and reports
- Assist the Director with preparation of capital plans, funding requests, and funding reports
- Support Capital Project Advisors as directed
- Attend community, Department and Committee meetings as required
- Coordinate, prepare schedules, and communicate information related to projects
- Perform other related duties as required
EDUCATION AND EXPERIENCE: (please attach all required documents)
- Grade 12 education or equivalent required
- Experience in clerical or support settings required
- Experience in real estate acquisition an asset
- Eligible for membership in Applied Science Technology & Technicians of BC or equivalent/similar an asset
- Criminal Record Check required
- Valid Class 5 BC driver’s license and reliable vehicle required
KNOWLEDGE, SKILLS, AND ABILITIES:
- Well-developed written, oral, and interpersonal communication skills
- Demonstrated planning, analytical, and organizational skills
- Well-developed MS Office computer and clerical skills
- Time management with the ability to multitask different tasks simultaneously
- Ability to take initiative, possess good judgment, work well independently and as part of a team
- Knowledge of Cowichan Tribes Departmental programs and services, policies and procedures, computer applications and Project Management Software is an asset
- Knowledge of infrastructure, engineering projects, building codes and standards considered an asset
- Knowledge of construction trades and project management
- Knowledge of Cowichan Tribes customs, land, culture and traditions or a willingness to learn
