This is moderately complex clerical work performed in the Community Planning administration section of the Planning and Development department. An incumbent reviews, enters and processes information received from multiple sources; produces and disseminates standard reports; prepares a variety of documents of moderate complexity using an electronic spreadsheet and related software systems to access and create documents; creates and prints a variety of charts and graphs using graphics software as directed; ensures maintenance, control, and updating of division records; provides information and assistance, resolves routine problems and explains procedures; delegates work to other clerical staff, assists in training departmental staff in clerical processes including preparation of training material and exercises, and review and revision to the clerical instruction manual. Performs cash handling and deposit functions by collecting payments; balances cash and electronic payments received against cash register transactions, prepares detailed reports on variances; compiles and balances a daily distribution sheet; prepares shopping carts in SAP for expenditures. Performs related work as required.
Qualifications include completion of grade 12 including or supplemented by commercial, typing and bookkeeping courses, plus sound related clerical experience involving the use of a personal computer and cash handling and recording or an equivalent combination of training and experience. Considerable knowledge of the applicable departmental policies, practices, procedures. Sound knowledge of departmental operations and functions as related to the work performed; practices and procedures used in the operation of computerized systems, spelling and punctuation, and of recordkeeping, filing and related clerical functions. Ability to train and delegate work to one or more subordinates engaged in a variety of routine office duties. The ability to review documents for completeness, accuracy and conformance to departmental standards; to prepare, review and revise clerical processes and instruction manuals; to process information with speed and accuracy within tight deadlines; to type and prepare a variety of material such as correspondence, memos, minutes, agendas, and reports from draft; to provide information and assistance in resolving problems; to create spreadsheets, produce reports and maintain related data. The ability to work well in a team environment is considered an asset. A valid Driver’s License for the Province of British Columbia is required.
