ESSENTIAL DUTIES AND RESPONSIBILITIES:

Reporting to the Manager of Communications and Marketing, the Communications and Marketing Coordinator is an enthusiastic professional who thrives in a fast-paced environment working independently. Your organizational prowess and event planning experience combined with strong social media marketing skills will help you to identify solutions, adapt and respond within tight timelines. Every day the Communications and Marketing Department delivers projects that impact the public and provides communication services that support Council and the municipality. Our ideal candidate is extremely organized and provides care and attention to the smallest details. You will work with the Communications and Marketing team, contractors, consultants, and advertisers to create and share Greenview’s story. Expertise in events planning, social media marketing, writing, editing, and design are key to success in this position. The Communications and Marketing Coordinator must have excellent public relations skills and will be called upon to organize internal and external events while representing Greenview’s brand.
 
MAJOR
General Responsibilities

  • Write a variety of different content to support communications and marketing efforts, including newsletters, website copy, and brochures or press releases when required
  • Assist the Communications and Marketing team in developing and implementing a Communications and Marketing strategy designed to further organizational objectives
  • Monitor analytics and create reports detailing the successes and failures of communications campaigns and strategies
  • Stay up to date on web and digital marketing industry trends and make recommendations for adjustments to Communications and Marketing strategies and practices
  • Respond to media inquiries when directed by the Communications and Marketing Manager and maintain relationships with journalists and other members of the press
  • Perform outreach to press outlets, magazines, influencers, and build strategic partnerships to grow the Greenview brand
  • Assist with development of escalation protocols for managing communications crises, should they arise

 
Web and Social Media

  • Monitor and maintain website and social media channels, including adding and updating content, adding users, and coaching web editors
  • Create dynamic campaigns using tools such as Hootsuite, WordPress, Telemetry, and Campaigner in collaboration with senior Communications and Marketing team members
  • Ongoing media monitoring and social media analytics
  • Develop, edit photos, and post video content to applicable channels

 
Writing and Editing

  • Compile content for quarterly ratepayer newsletter
  • Ensure consistent messaging and organizational standards are followed
  • Edit technical documents for readability and adherence to organizational standards
  • Draft media releases, briefings, and key messages
  • Create and schedule media releases to targeted distribution lists
  • Prepare reports and requests for decisions for Council and Senior Leadership Team

 
Branding & Marketing

  • Assist in re-branding and design initiatives
  • Prepare content for bi-weekly municipal pages in local newspapers
  • Develop marketing collateral
  • Maintain and update the Greenview Store
  • Maintain catalogue and inventory of promotional stock and work with vendors to supply new items
  • Manage and coordinate Greenview staff and department promotional item orders and financial tracking
  • Evaluate projects and marketing through surveys, Google Analytics, and other tools
  • Coordinate Communications calendar with scheduled media releases, advertising campaigns, publications, public relations activities, and major events
  • Maintain and update Greenview document templates in Microsoft Office and Adobe PDF formats as required

 
Digital Asset Management

  • Develop and maintain digital asset database
  • Ensure all communications products are current and accessible to stakeholders
  • Ensure protected digital assets are readily accessible to required internal users
  • Maintain Communications and Marketing Department electronic and paper filing systems

   
Public Relations & Citizen Engagement

  • Pre-event planning, design, set up and attendance at Greenview internal and external events
  • Coordinate volunteers, support staff, vendors and more to support events
  • Track and file event expenses
  • Establish and maintain list of vendors and event contacts
  • Coordinate purchase of special event promotional items and prizes
  • Liaise with Communications and Marketing Manager and team and keep informed of event logistics
  • Occasional use of Greenview’s mascot costume at community events
  • Overtime is required during peak event season

 
Financial

  • Tracking departmental budget expenses and forecasting
  • Preparing purchase orders, invoices, and funding requests for the Communications and Marketing Manager’s approval

 
OCCASIONAL

  • Attend Council and committee meetings
  • Act as backup for teammates as required
  • Other duties as assigned


QUALIFICATIONS / EDUCATION / EXPERIENCE:

  • To perform this job successfully the individual must be able to perform the duties listed above with excellent quality, timeliness, and precision
  • 3 – 5 year’s related work experience in municipal government sector preferred
  • Extensive experience with Adobe Creative Cloud considered an asset
  • Digital asset management experience desired
  • Knowledge of legislation that impacts municipal communications including the Freedom of Information and Protection of Privacy Act, Municipal Government Act, Canadian Anti-Spam Legislation, and Public Participation Regulation
  • Must be able to work in high-stress environments, including Emergency Operations Centre (EOC)
  • Previous EOC experience is considered an asset
  • Incident Command System (ICS) 100 and Alberta Emergency Management Agency (AEMA) Alert System training desired
  • CPRS or IABC membership considered an asset
  • IAP2 Certification considered an asset
  • Class 5 driver’s license.

WORKING CONDITIONS AND PHYSICAL ENVIRONMENT:

  • Extensive use of computers
  • Subject to working in an indoor and outdoor environment
  • Use and operation of a vehicle
  • Must be able to lift up to 50 lbs for event set up, including large displays. Must be able to lift or carry boxes of promotional and other materials
  • Normal working day consists of 7.5 hours; however occasional overtime on evenings or weekends, may be required

  • All personnel working at the Municipal District of Greenview are governed by the Municipal District Health & Safety Policy.
  • Ensures all operations are conducted in a safe manner and in accordance with Municipal District Policies and Occupational Health & Safety Regulations
  • Ensure proper ergonomic requirements are met and good ergonomic procedures are practiced
