Position Purpose
Reporting to the Lands Manager, the Lands Assistant is responsible for providing a full range of support. The Lands Assistant is also responsible for maintaining strict confidentiality; employing excellent interpersonal and communication skills regarding sensitive issues; and working independently as well as within a team environment. The Lands Assistant will also provide support to the Chief and Council/CEO in the preparation of minutes and meeting packages and co-ordinate the Chief/CEO’s travel as part of their position responsibilities. This is a full-time, continuing support staff position.

Responsibilities

  • Provide accurate and efficient executive administrative support to the Lands Manager and Chief and Council/CEO
  • Maintain confidential files in accordance with privacy legislation and policies
  • Maintain appointment schedule for Lands Manager and arrange complex and detailed travel plans and itineraries for the Chief/CEO
  • Data entry and conduct internet and other research
  • Prepare correspondence, meeting minutes, meeting packages, reports and a variety of documents
  • Carry out administrative functions of the Land Registry System
  • Assist clients with filling out forms and applications
  • Prioritize conflicting needs; handle matters expeditiously, proactively, and follow through on projects to successful completion within given deadlines
  • Speak with the public in person and on the telephone, and provide information
  • Provide leadership in building relationships crucial to the success of Squiala First Nation
  • Engage in training and education as needed in the position and as provided by the employer
  • After hour meetings are required from time to time
  • Other related administrative duties as required


Knowledge, Skills and Abilities

  • Ability to be accurate when working with detailed information
  • Excellent time management and organizational skills
  • Ability to prepare and format letters, reports, spreadsheets, meeting notes and other documents
  • Ability to handle confidential information with discretion and be adaptable to various competing demands
  • Ability to communicate well in writing and verbally
  • Ability to communicate well with the local community, visitors and others
  • Proficient in Microsoft Office software applications including Word, Outlook, Excel, PowerPoint; Adobe Acrobat, and social media platforms
  • Willingness and ability to learn new software applications as needed to stay up to date in the position, and as required and trained by the employer


Education and Training

  • Skill and knowledge obtained by successful completion of a Post-Secondary degree or diploma
  • Minimum of 5 years of experience in an office environment
  • Proficient knowledge of office management principles and procedures, records management and minute-taking
  • Current valid Canadian driver’s license
