This is clerical and typing work involving the coordination of the bookings at a variety of City parks, outdoor facilities and Burnaby School District facilities. The work entails public contact and clerical work in receiving, reviewing, coordinating and processing requests for bookings from community and sport groups, special event coordinators, corporate clients and the public; discussing their needs and available dates and booking the facility; completing and issuing invoices; collecting fees; arranging with parks, technical, custodial and other staff regarding the set-up of spaces; and recording and maintaining booking data. The Booking Clerk provides information and assistance regarding matters such as facility user fees and terms of rental contracts and receives complaints regarding facility use. Liaises with recreation facility staff and other City departments and performs related work as required.
Qualifications include completion of Grade 12 including or supplemented by commercial and typing courses plus sound related experience; or an equivalent combination of training and experience. Considerable knowledge of departmental policies, practices, rules and regulations related to the work performed and of the capacity and amenities and equipment available at the related facilities; sound knowledge of modern office methods and procedures, including the clerical processes associated with the work, and of business English, spelling, arithmetic and punctuation. Sound knowledge of clerical and record keeping procedures, including those pertaining to receiving and processing cash and cheque remittances, and of business English, spelling, arithmetic and punctuation; of the needs of various community and sport groups as they relate to the facilities booked. The ability to maintain effective working relationships and to deal courteously with a variety of community and sport groups the public and internal contacts in supplying information and assistance; to process a variety of enquiries and complaints; to explain applicable practices, policies and procedures; to make decisions in accordance with applicable rules, regulations and policies; and to operate standard office appliances or equipment. Proficiency in typing and related computer programs such as CLASS, MS Word and Excel is important for this role. Working experience coordinating the booking of outdoor facilities, special events, sports fields and large multi-purpose facilities is desirable, along with hands-on experience with the Facility Booking Module in CLASS computerized system. This position requires the availability to work between 8:00 AM and 4:45 PM on at least two of the following days: Mondays, Thursdays, Fridays. Additional shifts may be required on Tuesdays and Wednesdays depending on seasonal requirements.
