We have an exciting opportunity for a dynamic, experienced Administrative Coordinator to join our Fire/Rescue Team. Reporting to the Fire Chief, this position is an integral member of the management team responsible for the delivery of senior level administrative support on a wide range of organizational and department priorities. Working in a fast-paced, paramilitary environment, the successful incumbent will be expected to manage multiple priorities with competing deadlines, carry out tasks and identify priorities with little supervision or direction, and exercise sound judgment and decision making with ease, in a local government setting.

The successful incumbent will be responsible for a range of senior-level administrative support functions including but not limited to:
  • Acting as the department focal point on a variety of inquiries, information requests and referrals from the community and internal/external stakeholders;
  • Tracking, coordinating and preparing timely responses on action items, departmental work plans and business priorities;
  • Assisting with the procurement of goods and services in consultation with Fire Management including purchase order requisitions, contract management, and invoice processing;
  • Drafting, preparing and delivering reports with a high degree of proficiency on behalf of, or for management;
  • Researching and compiling key pieces of information into written correspondence, reports or presentation formats;
  • Preparing, tracking and reporting on budgets and variances and investigating/resolving discrepancies as required;
  • Supervising and supporting junior administrative staff within the department as needed.

This work is characterized by someone who is driven to achieve excellence in providing optimum customer-service, exercising sound judgment and leadership, possessing business and political acumen, exercising tact and diplomacy in sometimes difficult and confidential situations, ability to think and act strategically using critical and analytical thinking on complex issues, and exceptional communication skills including the ability to draft written correspondence for a senior management audience.

Our candidate is highly collaborative, is energized by working in a fast-paced, multi-disciplinary team and views change as a positive and integral component of supporting a growing community and Fire/Rescue team.

The ideal candidate should possess a Diploma or University degree in Business or Public Administration or related discipline, along with 5-7 years of progressive experience working in a municipal government setting in a similar capacity, or a suitable combination of education and experience.

Knowledge of financial systems and reporting as well as database-centric applications would be considered an asset.

A CUPE hourly rate of $32.94 - $38.78 (2018 rates), a comprehensive benefits package, and an earned day off (EDO) program is being offered.
