The City Clerk’s Department requires a temporary full-time Committee Clerk – Secretary for approximately 12 months.  You will provide a variety of support services to City Council, as well as various committees, boards, commissions and public forums, including the Board of Variance and other internal and external committees, as required.  You will be responsible for coordinating special events and meeting arrangements, preparing Council and committee agendas and supporting materials, and taking, transcribing and distributing minutes for various committees and Council meetings.  You will send notices to property owners and advise relevant parties of Board of Variance decisions and ensure that applications are processed in accordance with correct procedures and time limits.  In addition, you will advise on procedural rules during such meetings and follow-up on actions and decisions of committees, as appropriate. 

In this position you will provide a variety of information and assistance to internal and external contacts, prepare routine and non-routine correspondence and reports, prepare and maintain a variety of records and files, and update the appropriate sections of the City’s website.  You will also manage the flow of bylaws as they are considered by Council.

You will possess extensive related experience, excellent interpersonal and communication skills, and be able to work with considerable independence and minimal supervision.  You are comfortable working with a high degree of accuracy and strict time deadlines for publishing agendas.  You will also have the ability to deal effectively with the public, staff and various officials.  The ability to take formal minutes and to keyboard at a net speed of 60 wpm is required, along with a thorough knowledge of business English, spelling and punctuation, proficiency in Microsoft Office, and considerable related experience in local government procedures.  Knowledge of an electronic agenda process, experience with scanning, filing and searching documents within the eDocs Records Management system and LGMA Records Classification filing structure would be assets.

For temporary full-time positions of eight (8) months or longer, a City employee who is successful on the posting will have the right to revert to their former position.

Shortlisted candidates may be required to complete standardized tests or exercises to demonstrate their applicable skills and knowledge.

Salary:
$27.45 to $32.25 per hour
(Pay Grade 17 – January 2019 rates)

Hours of Work:
The City of North Vancouver currently works on a compressed work schedule of 8:30 a.m. to 5:00 p.m., Monday to Friday, with one scheduled day off (Monday or Friday) approximately each three-week scheduling cycle.
